Roles and Responsibilities


We are currently looking for a skilled and motivated Executive Administrative Assistant to join our team. You will be expected to complete a broad variety of administrative tasks, working closely with the Automation Manager, Service Manager and Operations Manager. We are looking for an experienced individual with a keen eye for detail, can work independently, efficiently and in a time sensitive manner.


A strong candidate will demonstrate a solid ability to:


  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf

  • Assist in completing new supplier applications / documentation

  • Preparing and/or editing documents, such as expense reports, memos and invoices

  • Creating spreadsheets, managing databases, preparing presentations

  • Negotiating with vendors

  • Reviewing incoming documents

  • Arranging meetings and other events

  • Managing mail/fax communications

  • Assist with general bookkeeping duties

  • Other duties as assigned


Qualifications and Core Skills


  • Proven ability to excel within a small working group and act as an effective team member of a larger organization;

  • Time management and ability to meet deadlines

  • Excellent verbal and written communication skills;

  • Demonstrated ability to interface with coworkers and contractors in a polite and friendly manner;

  • Excellent personal judgment, organizational skills, and problem-solving ability in order to multitask and prioritize duties while dealing with interruptions and competing deadlines;

  • Ability to take initiative to pro-actively identify potential problems or outstanding tasks, prepare required supporting information, and make recommendations so that tasks can be completed, or decisions can be made efficiently and effectively;

  • Excellent time management skills

  • Ability to handle sensitive information in a confidential manner

  • Strong communication skills

  • Flexible and adaptable as timelines and projects requirements change


Experience and Education:


  • Degree in Office Management would be an asset

  • Degree in Business Administration is preferred

  • Experience in an Industrial Manufacturing setting is preferred

  • Strong knowledge of Microsoft Office (Excel, Word, etc)


Work Conditions


  • Overtime as required

  • Weekend work may be required


Pay: $23.00-$36.00 per hour
